Tennessee Data Lab ("TN Data Lab," "we," "our," or "us") is an independent advisory and data consulting firm based in Tennessee. This Privacy Policy explains how we collect, use, store, and protect personal information when you visit tndatalab.com (the "Site") or interact with us, including through our contact form, job application process, or any other communication channel.

By using the Site, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Site.

1. Information We Collect

a. Information You Provide Directly

We collect information you voluntarily submit through the Site:

  • Contact form: Name, email address, company name, service interest, and message content.
  • Job applications: Name, email address, phone number, position applied for, years of experience, LinkedIn profile URL, resume file, and cover letter.

We will never ask for sensitive personal information (Social Security numbers, financial account details, or health information) through this Site.

b. Information Collected Automatically

When you visit the Site, we automatically receive certain technical information:

  • IP address: Logged at the time of form submission for spam and abuse prevention.
  • Usage analytics: We use Vercel Analytics, a privacy-friendly analytics tool that collects anonymized, aggregated data about page views and visitor traffic. No cookies are set for analytics purposes, and individual users are not tracked across sessions.
  • Performance data: Vercel Speed Insights collects anonymized page load performance metrics.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to inquiries submitted through the contact form.
  • To evaluate and process job applications.
  • To send transactional emails (e.g., confirmation that your message or application was received).
  • To maintain records of business inquiries and applicant information for internal use.
  • To detect, prevent, and address spam, fraud, or abuse.

We do not use your personal information for automated decision-making or profiling. We do not send unsolicited marketing communications.

3. How We Share Your Information

  • Service providers: We use trusted third-party services to operate the Site. Each is bound by its own privacy and data protection terms:
    • Vercel: website hosting, deployment, and analytics (vercel.com/legal/privacy-policy)
    • Neon: serverless PostgreSQL database where form submissions and applications are stored (neon.tech/privacy)
    • Resend: transactional email delivery (resend.com/legal/privacy-policy)
    • Vercel Blob: secure cloud storage for uploaded resume files (vercel.com/legal/privacy-policy)
  • Legal requirements: We may disclose information if required by law, subpoena, court order, or other governmental or legal process.
  • Business transfer: In the event of a merger, acquisition, or sale of all or part of our assets, personal data may be transferred as part of that transaction. We will notify you via a prominent notice on the Site before your data becomes subject to a different privacy policy.

4. Data Retention

We retain personal information for as long as reasonably necessary for the purposes outlined in this policy:

  • Contact form submissions: Retained for up to 2 years from the date of submission, or until you request deletion.
  • Job applications: Retained for up to 2 years from the date of application. Resume files stored in Vercel Blob are retained for the same period.
  • Analytics data: Aggregated and anonymized; no individual retention period applies.

When data is no longer needed, we delete or anonymize it. You may request earlier deletion at any time (see Section 6).

5. Cookies and Tracking

We do not use advertising cookies, third-party tracking pixels, or behavioral analytics. The Site uses the following minimal cookies:

  • Session/authentication cookie: Used only to maintain your logged-in state on the admin panel (if applicable). This cookie is not set for general site visitors.

Vercel Analytics uses a privacy-first, cookieless approach. No personally identifiable tracking occurs.

6. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request that we correct inaccurate or incomplete information.
  • Deletion: Request that we delete your personal data, subject to our legal retention obligations.
  • Withdrawal of consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
  • Opt-out of communications: You may request to stop receiving transactional emails by contacting us directly.

7. California Residents (CCPA)

8. Data Security

We implement commercially reasonable technical and organizational measures to protect your personal information, including:

  • HTTPS encryption for all data transmitted to and from the Site.
  • Access controls limiting who within TN Data Lab can access submitted data.
  • Secure, encrypted cloud storage for database records and uploaded files.

No method of transmission or storage is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

9. Children's Privacy

The Site is not directed to children under the age of 13. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will delete it promptly.

10. Third-Party Links

The Site may contain links to third-party websites (such as LinkedIn). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. If we make material changes, we will provide a more prominent notice. Your continued use of the Site after changes are posted constitutes acceptance of the updated policy.
