Giving a Portfolio Operator One Legible View of the Work
A private-equity-backed portfolio operator fielding work requests across multiple companies through scattered email threads and spreadsheets.
Situation
A private-equity-backed operator was fielding a steady stream of work requests across a portfolio of companies. Requests came in by email, in meetings, and in one-off messages, and they were tracked, when they were tracked, in a mix of spreadsheets and threads. Nobody had a reliable answer to the questions that mattered most to the people funding and overseeing the work: what is being worked on right now, what is queued next, how loaded is the team, and can we add this new request without breaking something already in flight. Executives and stakeholders were each carrying a partial, slightly different picture of the same reality, and every status update meant reconstructing it from scratch. The work itself was fine. The visibility into it was the problem.
Approach
We built a custom work-intake and delivery-tracking application. The front door is a public intake form anyone in the organization can submit, which drops the request straight into the system and auto-attributes it to the right company and requester, so nothing depends on someone remembering to log it. Behind the form sits a private, password-gated dashboard for the people who need the full picture. It includes a Kanban board that moves each piece of work through its delivery stages, a portfolio overview across all the companies at once, a per-company Gantt timeline showing what is scheduled and when, and a capacity planning view so leadership can see how loaded the team is before saying yes to one more thing. We also built in an automation telemetry surface, so the automated and agent-driven work running in the background reports its own status into the same dashboard rather than staying invisible. The whole point was to collapse a dozen scattered sources into one legible view that updates itself from a single intake form.
Outcome
Stakeholders and executives now open one dashboard and see the true state of the work: what is in progress, what is next, how much capacity is left, and where each company's initiatives stand on a timeline. Adding a request is a single form submission that shows up in the queue attributed correctly, instead of an email someone has to notice, interpret, and transcribe. The scattered spreadsheets and threads stopped being the system of record, because the app became one. And because everything now flows through a single structured intake, the reporting on top of it (throughput, capacity, and what is actually getting delivered across the portfolio) comes straight from the same source everyone is already looking at.
