Automating the Admin Work That Was Slowing Everything Down
A growth-stage operator with significant manual administrative load tied to deal closures, scheduling, and team coordination.
Situation
A significant portion of staff time each week was going into administrative follow-ups: confirmations, calendar invites, reconciliation between systems, and data entry across tools that didn’t talk to each other. As one example, every time a sales rep closed a deal, the rep then spent hours doing what was effectively the same workflow over and over — emailing internal teams, creating calendar invites, looping in operations and onboarding, updating multiple records by hand. Multiplied across the team, this was a substantial drag on capacity and a steady source of mistakes that were expensive to clean up.
Approach
We mapped the most expensive recurring workflows and built automation in two layers. The first layer was form-driven triggers: when a rep submitted a single short form — for example, a deal-close form — the downstream cascade fired automatically. Emails to the right internal stakeholders went out, calendar invites were created with the right attendees, records were updated across the relevant systems, and follow-up checklists were generated. The second layer was Python scripts plus Power Automate, used together to handle the data-entry and reconciliation work that didn’t fit a clean form-trigger pattern: scheduled scripts pulled, normalized, and routed data between systems, replacing what had been manual copy-paste. Microsoft Fabric served as the warehouse layer for the data the automations produced and consumed.
Outcome
Roughly 20 hours per week of manual work eliminated within the first month. Over the following year, the cumulative automation work effectively replaced what would otherwise have required hiring a six-figure analyst, without adding headcount and without adding software the business wasn’t already paying for.
